What personal data we collect and why we collect it
We collect personal data from those individuals who create an account on our site. An email address is required to connect to an account on our site. In addition, we collect personal information from individuals who register as a Nordic Microscopy Society member to enable us to identify members of the Society, to provide services to our members, and to communicate with our members. Following information is collected from the Society members:
- Full name
- E-mail address
- Phone number
- Affiliation (University/Company)
- Billing address
- In case the billing address is different from the personal address, we collect also the personal address.
Who on our team has access
Members of our team have access to the information you provide us. Administrator (Information Officer of the Society) and the Executive Board have access to your data to handle the Society’s services and legal requirements.
Stored Recipient Details for sending a voucher
When you purchase a voucher to be used by another member (for instance a research group leader paying memberships for all group members), we store your recipient’s email address, recipient’s name, message, and your name so that we can send them the voucher with all proper details that have been filled by you at the time of purchasing the voucher.
Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
While you visit our site, we’ll track:
- Products you’ve viewed. We use this to, for example, show you products you’ve recently viewed
- Location, IP address and browser type. We use this information to optimize the experience on our site.
We also use cookies to keep track of cart contents while you’re browsing our site.

Who we share your data with
All individual members of the Nordic Microscopy Society are also members of the European Microscopy Society (EMS). We share personal data of our members to the EMS that keeps its own record of EMS members. EMS privacy policy is available at: https://www.eurmicsoc.org/en/footer/privacy/.
Stripe provides the Nordic Microscopy Society an online service to collect membership fees using a credit card. Personal data is shared to Stripe when paying the Society membership fee. Stripe privacy policy is available at: https://stripe.com/en-fi/privacy. Stripe may transfer personal data outside of EEA (European Economic Area). All Members including the Company Members of the Society are listed in the Membership List. The Membership List shall be made available to all members of the Society once a year.
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
We retain our members data as long as the individual is a member of the Nordic Microscopy Society. A member can be removed from the Nordic Microscopy Society if the membership fee has not been paid. Also, a member can request a resignation from the Society. Detailed information is available in the Society By-Laws.
What rights you have over your data
As a data subject you have the right to object to processing, restrict processing, rectify information that you think is inaccurate, and object to automated decision-making.
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes such as the personal data required to identify a member of the Nordic Microscopy Society.

In case you are of the opinion that we have not addressed appropriately your data protection rights you may submit a claim to the data protection authorities in your European country of residence, or at the data protection authorities in Sweden.
